MedMen is looking for an Executive Assistant to support our Technology executives and team. You will collaborate with leaders including the Chief Technology Officer, Chief Digital Officer, and VP of Technology Organization Operations in support of a diverse and multidisciplinary team. Alongside a variety of sensitive and impactful judgements you will make to enhance the performance of the executives, you will also be responsible for scheduling, coordinating events, and anticipating challenges in an Agile technology environment. The ideal candidate will possess outstanding administrative support skills, excellent communication skills, and an innate ability to encourage positive culture in a dynamic workplace.
Identifies efficient approaches to maximize executives’ time and recurring commitments, including weekly reporting, goal-tracking, and team meetings
Represents the executives in a professional manner in all communications with both MedMen colleagues and external parties, demonstrating attention to detail and conscientiousness
Maintains sensitive, complex calendars with both digital and on-premises arrangements to ensure executives are prepared for meetings and events
Builds rapport with key cross-functional stakeholders and partners closely with other EA’s to coordinate executive schedules and deliverables
Plans and coordinates team events such as team building off-sites and critical on-sites visits
Schedules domestic and international travel with impeccable attention to detail
Reconciles business expenses in a timely manner and continuously tracks team budgets
Completes other duties and special projects as assigned including personal support
Demonstrates composure and flexibility regardless of competing priorities
Anticipates and responds to the needs of others before they arise
5+ years of experience as an Executive Assistant, or similar role, at a high-growth technology startup
Ability to communicate and be proactive under pressure as well as poise making decisions and executing despite ambiguity
Expert written and verbal communication skills including the ability to give and receive feedback diplomatically
Ability to demonstrate strong work ethic, good judgement, intuition, integrity, and EQ
Knowledge and skills handling sensitive information and situations with care and confidence
Objectively incredible organizational skills, with superb attention to detail, and a knack for process optimization that either invisibly or overtly enhances leaders and their teams
Experience handling a wide range of administrative support tasks and projects, and the ability to quickly shift tasks and priorities as needed
Character traits and abilities consistent with resourcefulness, resiliency, humbleness and effective follow-through
Achievements that indicate love of learning, problem solving, and skills thinking on your feet
Knowledge of the challenges supporting a growing team of diverse personalities and programs
The ability to collaborate and communicate with team members at all levels under pressure with a high level of professionalism and discretion
Office software skills including the ability to use Outlook, Slack, and other collaboration technologies and tools such as Keynote, Notion, and Airtable
Long-term career interest as an Executive Assistant with demonstrated longevity in previous roles
Bachelor’s degree in social sciences or technology related field
Passionate about MedMen’s mission, vision, and values
Understanding of software development processes
